What this policy covers

Real Chinese Names provides personal language and cultural naming consultation. This policy explains what information we process, why we use it, who helps us process it, and the choices available to you.

Information we collect

Order and questionnaire information may include an email address, customer and recipient names, original-name pronunciation and meaning, age range, gender expression, country, native language, intended uses, desired qualities, an existing Chinese name, and optional audio.

Operational information may include an order ID, package, payment status, support messages, delivery history, revision requests, consent choices, security events, and basic technical data needed to protect the service.

We do not ask for government identification, a home address, telephone number, payment credentials, passwords, or unrelated social-media accounts as part of the naming questionnaire.

How information is used

  • To create, review, deliver, and support a naming recommendation
  • To process and reconcile an order and its payment status
  • To protect private reports, files, accounts, and access links
  • To handle revisions, refunds, disputes, and deletion requests
  • To meet accounting, security, and legal obligations
  • To improve operations using aggregated, non-identifying measures

Payment information

When Creem is shown at checkout, Creem acts as merchant of record and processes payment, billing, taxes, invoices, refunds, and disputes. We receive transaction references and payment status needed to fulfill and support the order, but we do not receive or store complete card details. Creem processes personal data under itsPrivacy Policy.

Service providers

We may use infrastructure, database, storage, email, security, and payment providers to operate the service. The planned production providers include Cloudflare for web infrastructure, Supabase for database and private storage, Creem for payment services, and an email delivery provider.

Providers receive only the information needed for their role and are not permitted by us to use private naming material for their own advertising. We may also disclose information when required by law or needed to protect users, the service, or legal rights.

Private files and reports

Questionnaire responses, recordings, and reports are private by default. They are accessed through protected systems and expiring or revocable links. We do not sell personal information or intentionally send private questionnaire content to advertising analytics.

Cookies and local storage

The public editorial site does not require advertising cookies. Essential cookies or similar storage may be used during checkout, order access, authentication, fraud prevention, and security. These mechanisms are used to provide requested functionality, not to build advertising profiles.

Testimonials and case permission

Permission to publish a testimonial and permission to publish an anonymized case are separate choices. Both default to off. A public case is manually edited to remove identifying details and is never a direct copy of a questionnaire or private report. Permission may be withdrawn for future publication by contacting support.

Retention

  • Unpaid draft orders are deleted within 30 days.
  • Optional pronunciation recordings are deleted within 90 days after order completion unless earlier deletion is requested.
  • Private reports and essential order records may be retained for up to 24 months for access, revisions, support, security, and disputes.
  • Transaction, tax, and accounting records may be retained by us or the merchant of record for longer when applicable law requires it.

Data may be retained longer when needed to investigate fraud, comply with a legal requirement, establish a legal claim, or complete an active dispute.

Your choices and rights

You may ask to access, correct, delete, or receive a copy of personal information associated with your order, or object to certain processing. Some records may need to be retained for payment, fraud, dispute, or legal purposes. We may verify the requester before acting on a privacy request.

International processing and security

Providers may process information in countries other than your own. We use access controls, private storage, limited retention, and protected delivery links to reduce risk. No internet service can guarantee absolute security.

Children

Purchasers must be adults. If a naming service concerns a minor, the order must be placed by a parent or legal guardian, who must avoid providing unnecessary information about the child.
